The primary purpose of this position is to serve as the Administrative Support Assistant for Pharmacy Service and provide a variety of administrative and technical support functions such as monitoring and studying pharmacy workflow processes, data collection, tracking, and implementation of best practices for the Pharmacy, timekeeping duties, new employee recruitment and onboarding, and other administrative functions.

Major duties include but are not limited to:

* Performs administrative support work such as the following, establishes and maintains office technical and administrative files in accordance with applicable regulations; responsible for maintaining the pharmacy administrative drives and all electronic files, including sensitive document and personnel files.

* Assembles and summarizes new employee selections, gains and losses, and onboarding information, data, and other pertinent information.

* Compiles HR information to complete and submit FTEE LEAF requests and HR actions via HRSMART for job announcements.

* Responsible for acquisitions, allocation as well as utilization of space in the facility allotted to Pharmacy Service.

* Acts as a resource person in planning, reviewing, and revising medical center policies (MCP) and standard operating procedures (SOP) for pharmacy service.

* The incumbent uses multiple programs and software such as databases, spreadsheets, and graphics for Pharmacy Service.

* Researches and introduces technology-oriented solutions to improve Pharmacy service operations.

* The incumbent serves the primary Personal Identity Verification (PIV) sponsor.

* Serves as the primary timekeeper for Pharmacy Service and functions as the subject matter expert for the VA Time and Attendance System (VATAS AKA GOVTA).

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/18/2024.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience and/or education as described below:

* Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of the duties, priorities, commitments, policies, and program goals of the staff sufficient to perform non-routine assignments involving oral and written principles. In-depth knowledge of the priorities and program intricacies of Pharmacy Service as well as knowledge of the priorities and objectives of the VISN and VHA. General knowledge of pharmaceutical terminology and symbols to recognize which information is or is not relevant to the problem at hand. Knowledge of the broad range of administrative services at the Medical Center in order to plan, implement, carry out, and advise on various activities relative to quality management/improvement, continuum of care, and performance measures. Knowledge of personal computer applications and demonstrated ability to design and maintain spreadsheets and databases using Microsoft programs such as Outlook, Word, Excel, PowerPoint, and VA programs such as VISTA, CPRS, TMS and VATAS systems. Includes ability to create graphs from data collection, calculate formulas for spreadsheets, store and retrieve electronic documents or files, activate a printer, insert, and delete text, retrieve data from electronic records, and transmit and receive electronic mail. A fully qualified typist is required.
