Express Employment Professionals is hiring on behalf of a mid-size production company located in Brooklyn, NY. We are seeking a highly organized and detail-oriented Finance Administrative Assistant to join their finance department.

Job Summary: The Finance Administrative Assistant will provide essential support to the finance department by performing various administrative and clerical tasks. The ideal candidate is proactive, detail-oriented, and capable of multitasking in a fast-paced environment.

Key Responsibilities:

  • Assist with the preparation of financial reports, statements, and invoices.
  • Maintain and update financial records and databases.
  • Handle accounts payable and receivable, including processing payments and managing invoices.
  • Assist in the preparation of budgets and forecasts.
  • Conduct regular reconciliations of financial data and bank statements.
  • Coordinate and schedule meetings, appointments, and events for the finance team.
  • Prepare and distribute financial documents, reports, and correspondence.
  • Respond to inquiries and provide information to internal and external stakeholders.
  • Maintain confidentiality of all financial and company data.
  • Perform general administrative tasks such as filing, photocopying, and scanning documents.
  • Assist with special projects and other duties as assigned by the finance team.

Qualifications:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Finance, Accounting, Business Administration, or related field preferred.
  • Proven experience as an administrative assistant, preferably within a finance department.
  • Strong understanding of financial and accounting principles.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with financial software (e.g., QuickBooks, SAP, Oracle) is a plus.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to handle sensitive information with discretion.
  • Excellent communication and interpersonal skills.
